How Roonly works
Short, plain answers for reps, managers and office teams. Every article describes what the product does today.
Getting started
Install the app, join your team, record your first conversation.
What is Roonly?
Roonly records sales conversations, scores them against your playbook with AI, and turns the results into coaching, lessons and practice for reps and managers.
How do I install the Roonly mobile app?
Install Roonly from the App Store on iPhone, or through a Google Play testing track on Android using the opt-in link your manager sends you.
How do I accept an invitation and join my team?
Open the invitation link in a browser, create your account with the invited email, then install the mobile app or open the dashboard depending on your role.
How do I record my first conversation and read the score?
Tap Record on the Home tab, tap again to end, and let the upload finish. A few minutes later the conversation shows a score, feedback and the objections raised.
Recording
Phone, Apple Watch, shift mode, offline and battery.
How does recording work in the field?
Roonly records from your phone with the screen off, saves audio locally, and uploads in the background with retries, so a dead zone never costs you a conversation.
How does shift mode work?
Start a shift once, put the phone away, and end it when you are done. Roonly records all day, then splits the audio into separate conversations and scores each one.
How do I record from my Apple Watch?
Tap REC on the Watch, talk, tap Stop, pick an outcome. The Watch sends the audio to your iPhone in 30-second segments and the phone uploads the finished recording.
How do battery, storage and upload hold up on a long day?
Roonly records small speech-quality files, warns you when storage drops below 500 MB, and keeps uploads in a retrying queue so a long shift finishes cleanly.
Scoring and feedback
How conversations are scored and what to fix first.
How does Roonly score a conversation?
Every scored conversation gets an overall score out of 100 plus a score for each stage, produced by AI reading the transcript against your team's rubric and playbook.
What are playbooks and rubrics, and how do I set them up?
A rubric is the stage list your team is scored on, chosen by team type. A playbook is your own sales material, uploaded on the Company page, that the scorer reads too.
How do I read my feedback and know what to fix first?
Start with the lowest stage bar and the Focus Areas list, check the objections you lost, then practice the conversation with AI if the score was 70 or lower.
Training
Lessons, AI roleplay, try again and practice.
What are lessons and where do they come from?
Lessons are short step-by-step modules in the Train tab, built by your manager or generated by AI from your playbook and your team's real objections.
How do I practice with AI roleplay?
Pick a scenario from AI Practice or your coaching plan, talk to an AI prospect that pushes back like a real one, and get a score with strengths and areas to improve.
How do try again, practice mode and streaks work?
Replay a real conversation against an AI prospect built from it, beat your original score, and keep a daily practice streak going with XP, levels and leagues.
For managers
Dashboard, conversation library, contests and seats.
What is on the manager dashboard?
The web dashboard gives managers an Overview, a Team page with every rep's numbers, the Conversations library, Insights on objections, and the Training and Contests tools.
How do I find, review and share a conversation?
Filter the Conversations library by rep, outcome, score and date, open a call to hear the audio and key moments, then comment for the rep or download the audio.
How do contests, brackets and leaderboards work?
Managers create contests and bracket challenges on the dashboard; reps follow standings and the leaderboard in the Ranks tab, ranked by average score, sales or leads.
Invite reps, set roles and manage seats
Admins and managers invite people from Settings by email and role. Invitations expire after seven days, seats are checked per role, and Team is where you manage members.
Roonly Office
The overlay, the AI receptionist, call scoring, callbacks and SMS campaigns.
What Roonly Office does for the front desk
Roonly Office records and scores your office calls, answers what your team misses, keeps callbacks in one inbox, and runs reviewed SMS follow-up.
Keep your phone system: how the overlay works
The overlay puts a Roonly number in front of your office line so every call is recorded and scored. One forwarding rule connects it and one removes it.
How the AI receptionist answers your calls
The AI receptionist greets callers, answers questions from your company profile, captures booking requests, and transfers to a person on request.
How call scoring and coaching work for CSRs
Every office call is scored on a CSR rubric with written feedback. CSRs see their calls, get practice suggestions, and roleplay in the browser.
How to work the callbacks inbox
The callbacks inbox lists every caller the AI promised a human would get back to, with their number and a summary. Work it until it reads Queue is clear.
How SMS follow-up campaigns work
Campaigns read customers from your CRM, draft one text per person for your review, run the replies, and count a booking only when your CRM shows it.
Integrations
CRM writeback and the phone systems Roonly ingests calls from.
What Roonly writes to your CRM
After every analyzed call or door visit, Roonly finds or creates the contact and logs a factual note with the outcome, duration, summary, and recording link.
Which phone systems Roonly pulls calls from
Roonly ingests recordings from CallRail and nine webhook phone systems, plus any system that can send a direct webhook. Calls flow in with no routing changes.
Privacy and compliance
Recording consent, transcript redaction and SMS consent.
Recording consent: what the law needs and what Roonly does
Most US states let one party record a conversation; a minority require everyone's consent. How that applies at the door and on the office phone, and what Roonly does.
Personal information in recordings and transcripts
Where recordings and transcripts live, who can see them, what never leaves Roonly, what the phone and text agents refuse to collect, and how deletion works.
SMS consent, STOP and HELP, and quiet hours
You hold consent for every number you text. Roonly enforces STOP and plain-language opt-outs, quiet hours on the recipient's clock, and never-text rules.
Troubleshooting
Audio, uploads and Android.
Recording sounds wrong or will not upload
What to do when a recording will not start, stops by itself, sounds muffled, sits in the upload queue, or never shows up in History, with the exact messages Roonly shows.
Android: how to install it and what to know
Roonly for Android comes through a Google Play testing track your manager invites you to. Keep it updated, allow background activity, and know what is iPhone first.
