Which phone systems Roonly pulls calls from
Roonly ingests recordings from CallRail and nine webhook phone systems, plus any system that can send a direct webhook. Calls flow in with no routing changes.
Two ways calls get in
The overlay records calls by sitting in front of your published number. A direct integration is the other path: if your phone system already records its own calls, Roonly pulls those recordings in through a webhook and scores them with no change to your routing. Direct integrations also cover outbound calls, which the overlay never sees. Both can run at the same time.
All integrations live under Integrations in the Admin section of the sidebar, in the Phone and VoIP card.
CallRail
CallRail has a dedicated connection.
- Choose Connect on the CallRail row and paste your CallRail API key. Add the webhook signing token from CallRail's webhook advanced settings as well; it lets Roonly verify that each webhook came from CallRail.
- Roonly discovers your account and lists its companies. Pick which ones to ingest.
- Roonly syncs your trackers and automatically maps any CallRail agent whose email or forwarded cell matches a Roonly user.
- Copy the webhook URL and paste it into both the Post-Call and Outbound Post-Call slots in CallRail. Leave Include IP Address off.
Recording must be on in CallRail for a tracker's calls to arrive with audio. For trackers that route through a call flow, the recording toggle is on the call flow, not the tracker. After changing anything in CallRail, press Sync now on the card.
Direct webhook integrations
These systems connect the same way: press Connect, enter any credential the system needs, and Roonly gives you a webhook URL with the exact steps for that system.
- GoHighLevel and LeadConnector: a private integration token and location ID, then a workflow that posts to the URL when a call completes.
- OpenPhone: a call webhook for the recording-completed event.
- Kixie: an End Call webhook.
- CallTrackingMetrics: a post-call webhook.
- Aircall: the webhook integration with the call-ended and assets-generated events.
- Dialpad: a company API key. Roonly creates the webhook subscription for you, so there is nothing to paste.
- JustCall: a Call Completed webhook.
- Zoom Phone: a server-to-server app with the recording-completed event. Connect in Roonly first so Zoom's URL validation succeeds.
- CloudTalk: a workflow automation on Recording Uploaded.
After connecting, open Manage and watch the Recent calls list to confirm calls are arriving before you rely on it.
Any other system
Most phone systems can send a webhook directly. Choose Any other system to get a URL that accepts a small set of fields: a call id, the recording URL, from and to numbers, duration, direction, the agent's email, the contact name, and a start time. Roonly does not use or recommend middleware. If your system truly cannot send a webhook, tell support and Roonly builds the direct connector or sets you up on the overlay.
Matching calls to people
Each call is matched to a Roonly user by the agent's email or by the line they answer on. Open Manage on any provider to map agent emails and line numbers to your team. Calls that cannot be matched land in the Unassigned queue under Conversations; assign one to a person and it is transcribed and scored from there.
Voicemails are skipped by default and very short calls are filtered out, both adjustable when you connect. Every ingested call is transcribed, scored on the office rubric, and written to your CRM like any other call.
