How do I find, review and share a conversation?

Filter the Conversations library by rep, outcome, score and date, open a call to hear the audio and key moments, then comment for the rep or download the audio.

Conversations in the sidebar opens the library: every recorded and scored conversation across the teams you manage. This article covers finding the one you want, reviewing it, and getting it in front of the rep.

Finding a conversation

The top of the library shows four counters for the current filters: Total Conversations, Avg Score, Sales and Leads. Below them:

  • Search by rep name. Start typing and pick the rep from the list.
  • Filters. Rep, Outcome (Sale, Lead, Callback, No Interest, Unqualified) and Score Range (High 80 and up, Medium 60 to 79, Low under 60, Not scored).
  • Sort. Newest first, Oldest first or Longest first.
  • Date range. Last 7 days, Last 30 days, Last 90 days or All time. The default is the last 7 days, so widen it if a conversation seems missing.

Each row shows the rep, the contact name if known, the date, duration, a compact timeline of who spoke when, the outcome and the score. A status badge appears on rows that are still Uploading or Processing, or that Failed. Recordings with no speech or only the rep talking are excluded from the library entirely. Pages hold 25, 50 or 100 rows.

Reviewing a conversation

Click a row. The header shows the rep, contact name, outcome, date, duration and the address where it was recorded. Three buttons sit beside the Overall Score:

  • Audio downloads the recording as an .m4a file.
  • Report downloads a screenshot of the page as an image.
  • Try again with AI opens a roleplay built from this conversation so you can test the scenario yourself.

The Score Breakdown lists each stage with its score, the rep's talk ratio and the number of questions asked. AI Feedback repeats the summary, objections, focus areas, what went well, areas to improve and coaching tips the rep sees in the app.

Key Moments is the part reps do not get on their phone. Roonly marks timestamped objections, strong moments, missed opportunities, key questions, stage transitions and closing attempts, each with a quote, a severity and a short explanation. Click one to open it, then use View in Transcript or Play from Here to hear the moment. Refresh regenerates the annotations.

The audio player supports play, skip, mute and playback speeds from normal up to double. The Transcript shows the first lines as chat bubbles, with the rep in orange and the prospect in gray; click any bubble to play from that line, or open View full transcript.

Correcting the record

  • Reassign. If a recording landed on the wrong rep, click the reassign icon by the rep's name and choose the right person. Manual assignment sticks; Roonly will not change it later.
  • Outcome. Managers can change the outcome from the detail page. Outcomes drive points, goals and contests, so fix a mislabeled sale.

Sharing with the rep

There is no public share link. The ways to put a conversation in front of a rep are:

  1. Manager Comments. Type in the Add a comment for the rep box. The comment appears under Manager Comment on the rep's conversation screen, and they get a push notification if they have Manager Feedback notifications on. Comments are threaded, so a coaching exchange stays with the call.
  2. Assign practice. From the rep's page under Team, the Skill Gaps section has Assign buttons that push a matching roleplay into the rep's coaching plan.
  3. Download. Send the Audio file or the Report image outside Roonly, for example in a team chat, when you want the whole team to hear a strong close.

Rep Notes at the bottom shows anything the rep typed when saving the recording.
