Recording sounds wrong or will not upload

What to do when a recording will not start, stops by itself, sounds muffled, sits in the upload queue, or never shows up in History, with the exact messages Roonly shows.

Most recording problems come down to one of five things: the microphone, another app, the phone's position, the connection, or storage. Work through the section that matches what you see.

Recording will not start

Microphone Access Required. Roonly cannot record without the microphone permission. Open your phone's Settings, find Roonly, and turn Microphone on, then return to the app.

Recording Limit Reached. Your company's plan caps the number of recordings. The audio from that attempt is discarded. Tell your manager; they can see the cap in the dashboard.

Recording stopped by itself

Another app took the microphone. A phone call, FaceTime, Siri, or a voice-memo app will end a Roonly recording. Roonly keeps the audio it already captured, queues it for upload, and shows a lock-screen notification that reads "Roonly recording stopped. Saved N seconds." When you return you also see a Recording Interrupted alert. Nothing before the interruption is lost. Start a new recording for the next door.

If Roonly was closed with a recording still on the phone, the next launch shows Unfinished Recording Found. Choose Upload to keep it.

The recording sounds muffled or quiet

The transcript is only as good as the audio, so this is worth fixing before you record again.

  • Keep the phone's microphone uncovered. A thick case, a jacket pocket with the mic facing inward, or a bag will muffle it.
  • Put the phone in a shirt or front pants pocket with the bottom of the phone (where the mic is) facing up and out.
  • Wind is the most common cause of unusable audio at the door. Turn slightly so the phone is sheltered.
  • On Android, update the app. Older versions recorded in a format that transcribed poorly.

If the audio was usable but Roonly marked the conversation no speech or self talk, it heard almost no words, or only one voice. Those recordings are not scored and do not appear in History. That is expected for a door that never answered.

Upload is stuck

Uploads start when you stop recording. With no signal, the recording waits in a queue that survives closing the app. Roonly retries each recording up to 5 times, with delays of 30 seconds, 2 minutes, 10 minutes, and 60 minutes, and checks the queue every 30 seconds while the app is open. Home shows Uploading conversation while it works and Conversation uploaded when done.

If every retry fails, Home shows "Conversation upload issue, Tap to retry." Tap it. Roonly refreshes your sign-in and tries again. If it still fails, sign out and back in, then tap retry once more. There is no Wi-Fi-only setting; Roonly uploads on any connection.

A recording that uploads but takes a few minutes to appear is normal. Transcription and scoring run after upload.

Storage is low

Roonly warns you when your phone is running out of space, because a recording needs room to be saved before it can upload. A full hour of audio takes roughly the space of a few photos, so the phone itself is usually the issue: clear photos, videos, or unused apps and try again.

A conversation is missing from History

Check these in order:

  1. It is still processing. Give it a few minutes after the upload finishes.
  2. It was marked no speech or self talk. Those are not scored and are hidden.
  3. It was longer than 2 minutes and Roonly split it into several conversations. Look for them by time and address.
  4. It is still in the upload queue. Look on Home for the upload status.
