CSR Call Coaching Software for Pest Control Offices
CSR call coaching software scores every office call, shows who books, saves and upsells, and builds practice for each CSR from your real calls.

What is CSR call coaching software?
CSR call coaching software scores every office call, shows who books, saves and upsells, and builds practice for each CSR from your real calls.
In a pest control office, the customer service reps (CSRs) handle the calls that decide revenue: the new customer comparing three companies, the existing customer with a question, and the customer calling to cancel. Most offices never hear those calls after they happen. A manager reviews a few by hand when a complaint comes in, and the rest are gone.
CSR call coaching software changes that by listening to every call. It transcribes and scores each one against the behaviors that book, save and upsell, shows the manager where each CSR wins and loses, and turns the losses into practice.
Why do office calls need coaching?
Office calls carry more of the business than most owners think. When we analyzed 1,072 inbound calls to one pest control company, 74% came from existing customers and 69% included a request about the caller's own account. In the same four weeks, 101 calls ended in a promised callback, each one a second call to make later.
The cancel calls matter most. At the same company, 6 in 10 cancel calls ended with no save attempt at all. Rentokil Initial, by contrast, said in July 2026 that its customer saves team was achieving a roughly one in three success rate in customer value retained. The difference between those offices is a habit, and habits come from coaching on real calls.
CSR turnover makes it harder. Offices hire in spring, train fast and lose people by fall, so the calls that decide retention are often handled by the newest people on the team. More on that in CSR turnover.
What does Roonly score on every office call?
Roonly scores every inbound office call on eight parts, each from 0 to 100, with an overall score that weights the booking ask and objection handling most on calls with a sales or save opportunity.
| What Roonly scores | What a strong call sounds like |
|---|---|
| Greeting | The company and the CSR's own name, warm and unhurried, no long hold at the start |
| Discovery | Questions about the problem, the urgency and the property, with the caller's concern repeated back |
| Empathy | The caller's situation acknowledged before the logistics, by name, without interrupting |
| Value | Why this company (guarantees, licensed techs, speed) before the price |
| Objections and saves | Price pushback, "I need to think about it" and cancel requests met with acknowledge, reframe, re-ask |
| Booking ask | A direct ask with concrete times, like "Thursday, 8 to 10 AM or Friday, 1 to 3 PM" |
| Call control | No dead air, contact details confirmed, a clear wrap-up of next steps |
| Compliance | Required phrases present, the company's process followed, no invented prices or promises |

The booking ask carries the most weight because it's the single most important behavior on an inbound call. A CSR who answers every question perfectly and never offers a time loses the job to the company that does.
How does CSR call coaching work in Roonly?
Roonly connects to the phone system and the CRM you already run, so there is nothing new for CSRs to log into:
- Connect your phone system. CallRail or any phone system with a webhook works today. OpenPhone, Dialpad, Aircall, Zoom Phone and others are in beta.
- Every call is transcribed and scored. Each call gets a score on the eight parts above and specific feedback for the CSR who took it.
- See who books, who saves and who upsells. The office view puts each CSR's results side by side, and flags the cancel calls with no save attempt so a manager hears the ones that matter.
- CSRs practice with AI customers built from your real calls. Cancels and price pushback are the calls CSRs dread, so they practice them against AI customers modeled on your own callers.
- New CSRs learn from your best calls before their first shift, so the spring hire hears how your best CSR handles a cancel before taking one.
- Ask Roonly. A manager can ask about any call, CSR or customer in plain words, like "Who's most likely to cancel this month, and why?", and get the answer with the calls behind it.
When a call ends without a booking, a text campaign follows up on its own, inside your CRM. More on the full office agent on the pest control page.
What CSR call coaching doesn't do
Scores and coaching stay in Roonly. Roonly never writes scores or coaching into your CRM; the notes it writes there are facts only, like what the customer asked for and what was booked. And it doesn't replace your CSRs: it takes the routine follow-up off their plate and shows each one where to get better.
How do you measure whether CSR coaching is working?
Measure the behaviors before the results, because they move first:
- Booking ask rate: on calls from prospects, how often did the CSR offer specific times?
- Save attempt rate: on cancel calls, how often did the CSR ask what changed or make an offer? See cancellation save rate for how to count saves.
- Promised callbacks: how many calls ended with "someone will call you back"?
- First call resolution: how many existing-customer calls ended with the request done? See first call resolution.
Then watch the results those behaviors drive: booked new customers, saved cancels and the churn rate behind them, covered in pest control churn rate.

Frequently Asked Questions
What is CSR call coaching?
CSR call coaching is reviewing a customer service rep's real calls and giving them specific feedback and practice on what to do differently. Software makes it possible to cover every call instead of a few picked at random.
How do you score a customer service call?
Score the behaviors that drive outcomes: the greeting, discovery questions, empathy, value before price, how objections and cancel requests were handled, whether the CSR asked for the booking with specific times, call control and compliance.
Does Roonly work with my phone system?
CallRail or any phone system with a webhook works today. OpenPhone, Dialpad, Aircall, Zoom Phone and others are in beta. You don't change phone systems or port numbers.
Does Roonly work with FieldRoutes?
Yes. Roonly works inside FieldRoutes today, with PestPac next. It reads your customers, plans and routes, and writes facts-only notes into the account.
Can CSRs practice cancel calls?
Yes. CSRs practice cancel calls and price pushback with AI customers built from your real calls, so the hard conversations are familiar before they happen on the phone.
Do scores go into the CRM?
No. Scores and coaching stay in Roonly. The notes Roonly writes into your CRM are facts only.
