Senior Living Speed to Lead Doesn't Stop at the Tour

November 4, 2026
A senior living sales counselor in a bright community lobby smiles at her phone as a family walks out through the glass doors behind her

Over half of senior living web inquiries wait more than two hours for a reply. The second race, after the tour, decides even more move-ins. How to win both.

Speed to lead in senior living is two races, not one. The first is answering a new inquiry, and most communities lose it: in more than 250 mystery shops in 2023, 53% of web inquiries got no response within two hours, and 13% never got one (Bild and Co., reported by Senior Housing News). The second race starts when a family walks out after a tour, and it decides even more move-ins.

Most speed-to-lead advice stops at the first race. Here are benchmarks for both, and how a community can win each without adding staff.

How fast should senior living respond to a new inquiry?

Within minutes during business hours, and first thing the next morning for an inquiry that arrives overnight. Families researching senior living often contact several communities at once, and the first to give a real answer has the best chance at the tour.

The data says most communities are far from that:

  • 53% of web inquiries got no response within two hours in Bild and Co.'s 2023 mystery shops of more than 250 communities.
  • 13% got no response at all.
  • On phone shops in the same work, 17% of calls were blind-transferred to voicemail.

The inquiry source matters too. In Aline's benchmark for Q2 2026, 57% of web inquiries to assisted living became tours, against 34% from paid directories and lead aggregators. A family that found you on your own website has already chosen to look closer; making them wait wastes the best lead you get.

Why the second race matters more

The first race decides whether a family tours. The second decides whether they move in, and the tour is no sure thing: in Aline's Q2 2026 benchmark, 54% of assisted living tours did not end in a move-in.

After the tour, the family goes home to decide, often with a brother or sister who wasn't there. They are comparing two or three communities, and the one whose details they can still see clearly has the edge. Most of the contact before a move-in happens in this window: WelcomeHome counts about 13 of 18 touchpoints after the tour (vendor data).

The research on counselors points the same way. In ProMatura's study of Sherpa CRM data (502 counselors, 23,480 leads; American Seniors Housing Association, June 2019):

  • The best counselors closed 41% of their tours; the average closed 22%.
  • Planning each family's next step lifted move-ins from 22% to 32%.
  • Personalized follow-up carried 23% of top counselors' conversion impact. Outbound calls and emails carried 2% each.

Speed after the tour is not a quick "thanks for visiting" email. It is getting the family something useful while the visit is still fresh.

How to win the first race

  • Answer web inquiries within minutes during the day. Route them to a phone that someone carries, not a shared inbox.
  • Answer overnight inquiries first thing, before the family's first call of the morning goes to someone else.
  • Answer with something useful: the care levels you offer, a real price range, and two tour times to pick from. A reply that only says "someone will call you" restarts the wait.
  • Never let a call fall to voicemail during business hours without a callback the same hour.

How to win the second race

  • Send a written plan the same day. What the family told you, the apartment they liked with its photos and real price, answers to what worried them, and one next step with a time.
  • Make it shareable. A link the family can forward to relatives who weren't on the tour.
  • Book the next step before they leave, or in that same-day plan: a lunch visit, a second look, a call with the nurse.
  • Watch for the open. When the family opens the plan, or a relative opens it, that is the moment to follow up.

What a family should get after a tour, item by item, is in our guide to senior living tour follow-up.

Where Roonly fits

Roonly's senior living tour software wins the second race for the counselor. The app records the tour, and within minutes Roonly builds a Family Plan from what the family said and the community's approved photos, floor plans, prices and policies. The counselor texts it from their own phone, with a link for each family member and next-step buttons, and sees who opened it. Every tour also coaches the counselor who gave it.

You can see a sample Family Plan to judge it yourself.

Frequently asked questions

What is a good lead response time for senior living?

Minutes during business hours. In 2023 mystery shops of more than 250 communities, 53% of web inquiries got no response within two hours, so a community that answers within minutes is ahead of most of its market.

What is speed to lead in senior living?

Speed to lead is how quickly a community responds to a family's inquiry. It also applies after a tour: how quickly the family gets a useful follow-up while the visit is fresh.

How soon should you follow up after a senior living tour?

The same day. A written plan that arrives that evening is in hand when the family talks it over; one that arrives days later competes with every other community they toured.

Which senior living leads are most likely to tour?

Web inquiries. In Aline's Q2 2026 benchmark, 57% of web inquiries to assisted living became tours, against 34% of inquiries from paid directories and lead aggregators.
